Scenario 14 — Housing and finances: household budget, safe renting, saving in practice

BNB4UR package • Group: 18–30 • 180 minutes • 15–20 people • Language: English • Format: in-person

Note
Note: this is an educational workshop, not legal/financial advice. Market rules and regulations may change—always verify current information in official sources, and read the contract before signing.

1. Overall goal and workshop logic

Goal: participants create a 30‑day budget, learn safe renting steps (checklist + handover protocol), and build a 30‑day saving plan with 5 realistic “quick wins”.

Logic: my costs and income → zero‑based/envelope budget → safe renting (checklist + red flags) → saving plan and indicators → 48‑hour commitment.

Outputs: 1) B1 – 30‑day budget (template), 2) B2 – Categories and priorities (envelope method), 3) B3 – Repayment plan (snowball/avalanche) (optional), 4) B4 – Safe renting checklist (documents/terms/payments), 5) B5 – Handover protocol (template), 6) B6 – 30‑day saving plan (calendar), 7) B7 – “Quick wins” list (25 ideas), 8) B8 – BF‑R rubric (results assessment).

2. Learning outcomes (knowledge • skills • attitudes)

Knowledge: distinguishes fixed/variable/irregular costs; knows basic renting concepts (contract, deposit, utilities, administrative fee, handover protocol, meter). Skills:

creates a 30‑day budget using the zero‑based or envelope method;

identifies red flags in ads and conversations;

fills in a handover protocol and agrees payment rules;

creates a 30‑day saving plan and chooses 5 actions. Attitudes: caution, planning, informed decisions, and the right to “ask questions before I sign”.

3. Organisational parameters

Room: “U” seating + 4 tables; 2 flipcharts; projector; timer; calculators (or phones).

Materials (A4, 1 per person): B1–B8 + a printout of a sample anonymous rental contract (summary) and a prototype “fees bar” (administrative fee/utilities).

Evaluation: Mentimeter PRE/POST (3 questions in section 4).

4. Mentimeter — questions (PRE and POST)

“I can build a 30‑day budget (fixed/variable/goals).”

“I know how to check the basics of a rental contract and fill in a handover protocol.”

“I have 5 realistic ways to save over the next 30 days.”

5. Detailed agenda (180’)

0–12’
Opening and ground rules (12’)

Goal: safety and trust. Instructions: explain the goal and outputs; rules: voluntary participation, right to pause, anonymity of numbers; we do not share other people’s financial data.

12–22’
Icebreaker “Top‑3 expenses of the month” (10’)

Goal: make it realistic. Instructions: everyone writes the three biggest expenses from the last month on a note; group them on a flipchart: housing/transport/food/other.

22–30’
Mentimeter PRE (8’)
30–65’
MODULE 1 — 30‑day budget: map and method (35’)

Goal: calculate and plan. Materials: B1 (Budget), B2 (Categories), calculator. Instructions:

Income: work/contract work, benefits, scholarships, other.

Fixed costs: housing (administrative fee, rent), utilities (electricity/gas/water), tickets/subscriptions, installment/phone.

Variable costs: food, occasional transport, hygiene, education, health, clothes, entertainment.

Irregular / sinking funds: doctor, repairs, gifts, documents/translations.

Goal and buffer: 1–2 goals (e.g., deposit ⅓ × 3 months; language course), mini‑buffer (even 1–5% of income).

Method:

Zero‑based: every złoty has a job (total income = total plan).

Envelopes: limits for categories (cash or “virtual envelopes” in B2). Success criteria: B1 completed (all sections) + a chosen method.

65–85’
MODULE 1B — Priorities and “what I can cut without pain” (20’)

Goal: set limits and quick savings. Materials: B2, B7. Instructions:

choose your top 5 categories to monitor;

from B7 choose 5 quick wins (e.g., meal planning 2×/week, using public transport, cheaper plan/subscription, replacing one subscription with the library, cooking together).

enter limits in B2 and transfer them into B1.

85–95’
BREAK (10’)
95–125’
MODULE 2 — Safe renting: checklist + protocol (30’)

Goal: know the steps and documents for renting. Materials: B4 (checklist), B5 (protocol), sample contract (summary). Instructions (step by step):

Before viewing: no “showing fee”; beware of a “too good” price; get a phone contact, address, and time.

Verify the owner/right to the property: ask for the owner’s details and the basis for renting out the place; the contract must include parties, address, rent/fees, term, deposit, termination rules, signatures.

Contract and language: get a draft contract in advance; if you do not understand the language—ask for a translation; check what rent includes vs utilities; rules for increases/delays.

Payments: bank transfer to a specific account with a title (e.g., “Rent – [month] – [address]”); receipt/confirmation for cash.

Handover protocol (B5): on the day keys are handed over:

meter readings (electricity/gas/water/heating),

keys/remotes (number),

equipment and condition (photos: walls, appliances, bathroom),

reported defects and repair deadline.

Red flags: cash only without confirmation; no contract; requesting an “advance” before viewing; “contract in Polish but sign now”; meter registered at a different address; forbidding registration “just because”. Success criteria: B4 completed (checklist) + a clear B5 (protocol) for your own situation.

125–135’
Energizer “Red flag sprint” (10’)

Goal: reinforce warning signals. Instructions: the trainer reads 8 short situations—the group raises a green/red card and briefly explains.

135–165’
MODULE 3 — 30‑day saving plan + (optional) repayment (30’)

Goal: implementation. Materials: B6 (calendar), B3 (repayment – optional). Instructions:

B6 – 30‑day calendar: plan 8–12 micro-actions (every 2–3 days): e.g., “Sunday meal prep”, “sell 1 item”, “subscription review”, “5 rental listings/comparison”, “energy meter photo”.

Indicators: in B6 write mini KPIs (PLN saved, number of actions, % of staying within the limit).

(Optional) B3 – Repayment: if you have debt, choose a strategy:

Snowball: start with the smallest balance—quick psychological wins;

Avalanche: start with the highest interest rate—cheapest over time. Success criteria: B6 has at least 8 actions and 3 indicators; (if relevant) a repayment plan with the first step.

165–175’
Mentimeter POST + 48‑hour commitment (10’)

Goal: closure and implementation. Instructions: POST (the same 3 questions). Everyone writes 1 step for the next 48 hours (e.g., “record meter readings”, “send questions to the landlord”, “set an envelope limit for ‘food’”).

175–180’
Closing (5’)

Instructions: photo of flipcharts; reminder to keep contracts/invoices; information on where to seek help (NGOs/university/consumer advisory services).

6. Good facilitation practices

Use plain language and rounded numbers; do not collect participants’ sensitive financial data.

Legal neutrality: we teach how to read documents and ask questions; we do not interpret disputes.

Include stories: work with anonymous examples.

Bridge to other scenarios: work in Poland (scenario 09), formalities (scenario 11), assertive communication (scenario 03).

7. Adaptations, plan B, variants

Language barrier: B4/B5 versions with pictograms; UA/EN notes allowed; peer translators.

Less time (120’): M1 25’, M2 20’, M3 20’; the rest shortened (B3 as homework).

More time (+30’): add a rental offer comparison (criteria + sheet) and a mini segment “energy bills—where to look for savings without investments”.

8. Evaluation and indicators for reporting

Mentimeter PRE/POST — 3 questions.

Artifacts: B1–B7 (photo/scan).

BF‑R rubric: assess 3 people per table.

Attendance and consent: attendance list, consent for photos of outputs (no sensitive data).

9. Printable handouts (ready content)

Printable handouts
Handouts B1–B8 and additional materials are available in the Materials (interactive + printable) section below. Click to jump to a card.

10. Branding and compliance (trainer)

On handouts: “Bridges of Hope” project logo, EU flag + “Co‑funded by the European Union”, Erasmus+ logo; partners (KIS, Asociația Se Poate).

Space for the project number and the information clause.

11. Trainer checklist (before/after)

Before: printouts of B1–B8; sample contract/protocol; calculators; Mentimeter; timer. After: photos of outputs (without data), saved Mentimeter results, collected 48‑hour commitments (follow‑up).

Materials (interactive + printable)

Each card has a Print button and a funding acknowledgement (hidden on screen in trainer mode, but always present in print).
